Position Overview: We are seeking a friendly, highly organized and motivated individual to join our team as a Medical Receptionist/Administrator. The ideal candidate will be be the first point of contact for our patients and visitors, providing exceptional customer service and administrative support to ensure the efficient functioning of our clinic. have excellent administrative and leadership skills, along with a strong understanding of clinic operations and patient care. You will play a crucial role in ensuring the smooth and efficient functioning of our physiotherapy clinic.

Responsibilities:

  1. Patient Check-in and Scheduling:
    • Greet patients and visitors warmly, ensuring a positive and welcoming atmosphere.
    • Manage patient check-in procedures, including verifying personal and insurance information.
    • Schedule appointments, follow-ups, and consultations accurately using clinic management software.
  2. Phone, Email and Online Communication:
    • Answer phone calls and respond to inquiries in a professional and courteous manner.
    • Handle patient questions, appointment requests, and general clinic information.
    • Monitor and manage clinic email inbox, live website chat and social media inquires.
  3. Appointment Coordination:
    • Collaborate with physiotherapists to schedule appointments based on availability and treatment plans.
    • Assist patients with appointment reminders and rescheduling as necessary.
    • Ensure appointment schedules are optimized for clinic efficiency.
  4. Waiting Area Management:
    • Keep the waiting area and toilets clean, organized, and stocked with informational materials.
    • Maintain a comfortable and inviting environment for patients and visitors.
  5. Administrative Oversight:
    • Manage daily clinic operations, including scheduling, patient registration, and billing.
    • Maintain accurate patient records and ensure compliance with privacy regulations (HCPC, GDPR, etc.).
    • Monitor and manage office supplies, equipment, and inventory.
  6. Financial Management:
    • Oversee billing processes, insurance claims, and payment collections.
    • Prepare and analyze financial reports, including revenue, expenses, and profitability.
    • Collaborate to ensure accurate invoicing and timely payments.
  7. Patient Care Coordination:
    • Coordinate patient scheduling to optimize clinic capacity and physiotherapist availability.
    • Ensure a seamless patient experience from check-in to discharge.
    • Address patient concerns, feedback, and inquiries in a professional and compassionate manner.
  8. Quality Assurance:
    • Maintain and enforce clinic policies and procedures to ensure compliance with industry standards and regulations.
    • Monitor patient satisfaction and implement improvements based on feedback.
    • Participate in quality assurance initiatives to enhance clinic services.
  9. Technology and Systems Management:
    • Oversee the use of electronic health records (EHR) and other clinic management software.
    • Troubleshoot technical issues and collaborate with IT support as needed.
    • Stay informed about technological advancements in the healthcare industry and suggest relevant upgrades.
  10. Problem Solving:
    • Address patient concerns, complaints, and inquiries promptly and professionally.
    • Escalate issues to the appropriate staff members when necessary.

Qualifications:

  • Proven experience in a medical receptionist or administrative role preferred.
  • Familiarity with physiotherapy clinic operations and medical terminology preferred .
  • Strong organizational and multitasking abilities.
  • Excellent communication and interpersonal skills.
  • Proficiency in using clinic management software and EHR systems preferred.
  • Knowledge of healthcare regulations and compliance standards preferred.
  • Ability to multitask and manage time effectively in a fast-paced environment.
